How to use this template

  1. 1Confirm the customer name, business details, invoice date, and unique invoice number before sending.
  2. 2List each product or service clearly with quantity, unit price, discounts, tax where applicable, and the final amount due.
  3. 3Use a due date or payment term that matches the agreement with the customer instead of leaving payment timing ambiguous.
  4. 4Keep payment instructions current and remove any old bank or payment details from saved copies.
  5. 5If the customer pays only part of the invoice, record the verified partial payment and keep the remaining balance visible.
  6. 6Do not mark the invoice paid from a screenshot alone. Verify the money through the business bank, payment provider, or other trusted source.
  7. 7Issue a receipt only after payment has actually been received and verified; an invoice is a request for payment, not proof of payment.
  8. 8Keep the invoice with the related customer, payment, and receipt records so the transaction can be understood later.
